I may just declare an open house one day in early February as they can't dictate what I do on my own property. Anybody could drop in during the late morning and swap things, or leave them for onward transit, and after a few hours we can adjourn to a local hostelry. If nobody turns up there's nothing lost.

it is not a case of dictating, if the BVWS are going to support any event it has to be on their terms. They will pay the cost of the hall, which means their public liability insurance covers the event. That is why it is advertised as members only. The signing in book at Golborne is to cover non BVWS members as there is the opportunity to join on the day.
As for catering you could consider just sarnies from a local buffet firm and put a few pence on the cost to cover expenses.
The major headache is table holders and chasing them. Do not get me wrong it is hard work to get any event such as this off the ground, but it is worth the effort.
Maybe, if you want some numbers of the table holders from golborne I can pass them on, just to sound them out and see what they say, after all that is how Golborne/Lowton started.
